Terms & Conditions

Vibrant Living is a telehealth psychology and coaching practice that supports neurodivergent women and gender-diverse individuals.

By accessing services, you agree to the terms outlined below.


The Engagement

  • Services are delivered online via secure video conferencing.

  • Support begins once you have accepted these terms.

  • Vibrant Living does not offer emergency or crisis support or court-related support.

  • If your needs fall outside the scope of this practice — including high clinical risk, complex support needs, or urgent care — a referral to a more suitable service will be suggested. Vibrant Living reserves the right to discontinue services in such cases to ensure you receive the care that is most appropriate. 

  • All session notes are taken and securely stored using Heidi Health, an Australian platform that is ISO27001 certified and compliant with Australian privacy laws. This supports accurate record-keeping and allows me to focus fully during our sessions. You have the right to opt out of this system at any time without affecting your access to care. If you choose to opt out, alternative arrangements for record-keeping can be discussed.


Scope of Practice

I do not provide:
 

  • Support for clients experiencing current or episodic acute suicide risk, severe psychological distress, or those requiring urgent, crisis, or high-intensity mental health care

  • Treatment for high-risk eating disorders (e.g. anorexia nervosa, bulimia nervosa)

  • Exposure-based trauma therapies (e.g. Trauma-Focused CBT, EMDR)

  • Treatment for severe personality disorders

  • Services related to WorkCover, insurance reports, or legal documentation

  • Court-related reports or forensic services

Informed Consent & Privacy

  • All sessions are confidential, except when required by law (e.g. risk of harm, child protection, court orders).

  • Client records are stored securely in line with the Australian Privacy Act 1988.

  • Sessions may not be recorded unless we agree to this together.

  • Online sessions are conducted using encrypted platforms, but complete security cannot be guaranteed — please use a private device and secure internet connection.

  • If technical difficulties occur, we will attempt to reconnect or reschedule. If the issue is on the client side, full fees still apply.


Your Responsibilities

  • Please attend sessions in a private, distraction-free space.

  • Active engagement is encouraged — therapy is a collaborative process.

  • Ensure your payment details and paperwork (e.g. Medicare referrals, NDIS agreements) are up to date.


Bookings & Payment

  • Appointments and invoices are managed via Halaxy, a secure client management system.

  • Payment details are required at the time of booking and stored securely.

  • Session reminders are sent via SMS (3 days prior) and email (1 day prior).

  • Outstanding invoices must be settled before further bookings can be made.
     

Session Fees

  • Medicare sessions: $230 per 50 minutes with a rebate of $98.85 bringing out-of-pocket costs to  $131.05 per session. 

  • NDIS sessions: $230 for 50 minutes + 10 minutes admin. Longer sessions are charged pro-rata. 100% of the fee is covered for self- and plan-managed clients only. NDIS progress reports are charged at the hourly fee ($230) and generally take 3-4 hours to complete depending on the complexity.

  • Private Health: A number of private health insurers cover all or part of psychology sessions. Please check with your insurer.

  • Private sessions: $230 per 50 minutes. No referral required.


Invoices are due on the day of issue. Stored payment details will be used to process payment. Late payments (14+ days) may incur a 15% fee and may be referred to a collections service.
 

Cancellations & Non-Attendance

  • 48+ hours' notice: No fee

  • 24–48 hours' notice: 50% fee

  • Less than 24 hours or missed session: Full session fee applies


If you’re late, I’ll wait online for 15 minutes and send a quick reminder. Please cancel via email, SMS, or using the link in your confirmation email. For NDIS clients, cancellation terms are outlined in your individual service agreement.


Medicare & Private Rebates

  • Medicare rebates are available with a valid Mental Health Treatment Plan (MHTP).

  • Full payment is required upfront. Rebates are processed after the session.

  • MHTPs allow for up to 10 rebated sessions per calendar year (6 + 4 after review).

  • Some private health funds may offer rebates — please check with your provider.
     

Ending Services

  • Services may end if therapy is no longer beneficial, if payment issues persist, or if terms are breached.

  • Clients may discontinue services at any time. Cancellation fees still apply.

Vibrant Living is not a crisis service. If you are currently experiencing acute psychological distress, or require urgent or high-intensity support, please seek immediate help from a crisis service:

Reaching out in crisis can be incredibly hard — please know you're not alone and there are services ready to support you.


Final Acknowledgement

By proceeding with services, you confirm that:

  • You are not currently experiencing a mental health crisis

  • You do not require urgent or in-person psychological care

  • If your needs change, you’ll inform your practitioner to explore more appropriate support options
